Privacy Policy

Vyxel HR (“Vyxel HR”, “we”, “our”, or “us”) is developed and published on Google Play under the developer account “Adnexus”, and is owned and operated by DigiWire. This Privacy Policy applies to the Vyxel HR application (Package Name: com.vyxel.hrms) — a Human Resource Management System (“Platform” or “Application”) — and describes how we collect, process, store, and protect information when your organization and its employees use our HR, payroll, and workforce management services.

1. Information We Process

Accounts on the Vyxel HR Platform are provisioned by an organization's Super Admin, Company Admin, or authorized HR staff. We process information necessary to deliver HR, attendance, payroll, and workforce management services on behalf of your employer.

1.1 Profile Information

Information managed for provisioned employee and administrator accounts includes:

  • Full name
  • Email address and phone number
  • Profile photograph (optional)
  • Gender and date of birth
  • Employee ID, designation, department, branch, and reporting manager
  • Account credentials and authentication tokens
  • Emergency contact details
  • Communication preferences (email, SMS, WhatsApp notifications)

1.2 Employment & Workforce Activity Data

During platform usage, the Application processes:

  • Attendance check-in/check-out records, work hours, and time-tracking sessions
  • Leave requests, balances, and approval history
  • Payroll and salary records, and payslip history
  • Performance reviews, goals, and calibration ratings
  • Employment history — promotions, transfers, role changes, and employment period records
  • Assets assigned (e.g. laptops, equipment) and submitted expense claims
  • HR case submissions (grievances, requests) and their resolution
  • Roster/shift assignments, shift swaps, and project timesheets
  • Recruiting data for candidates (résumés, interview scorecards, offers), where an organization uses the recruiting module
  • Learning, skills, and engagement survey participation data
  • Contractor agreements and invoices, for organizations engaging contractors

1.3 Technical Telemetry & Diagnostics

To ensure system performance and security, technical diagnostic data is processed automatically:

  • IP address and network connectivity status
  • Device/browser type, operating system, and session identifiers
  • Login timestamps, audit logs, and system interaction logs

1.4 Local Storage & Session Tokens

The Application uses secure browser storage to hold encrypted authentication tokens (JWT), UI preferences, and cached data needed to keep you signed in and the interface responsive.

2. How We Use Information

We process information strictly for the following purposes:

  • Authenticating users with credentials provisioned by your organization's admin
  • Recording and managing attendance, leave, payroll, and performance
  • Facilitating HR case resolution, approvals, and internal communication
  • Generating reports and analytics for HR and management
  • Sending operational alerts (leave status, payroll notices, policy updates) via email, SMS, or WhatsApp where enabled
  • Diagnosing technical issues and maintaining platform performance and security
  • Preventing unauthorized access and enforcing role- and module-based permissions
  • Fulfilling legal, tax, labor, and regulatory recordkeeping requirements

3. Information Sharing

We share information only with authorized parties involved in operating the HR service:

  • Your Employer: HR administrators, managers, and authorized staff of the organization that provisioned your account, for legitimate workforce management purposes.
  • Service Providers: trusted cloud infrastructure and storage hosts, and email/SMS/WhatsApp delivery providers operating under data confidentiality agreements. Where an organization enables the optional HR Assistant feature, questions are routed to an AI service provider solely to generate answers grounded in that organization's own published policies.
  • Legal Requirements: when required by applicable law, court order, labor authority, or governmental regulation.

We do not sell, trade, or rent personal or employment information to third parties.

4. Data Security & Retention

4.1 Data Security

We implement technical and organizational security safeguards, including HTTPS/TLS encryption for data transmission, hashed passwords, encrypted secrets, and role- and module-based access controls to protect information against unauthorized access, loss, or misuse.

4.2 Data Retention

Personal and employment data is retained for as long as necessary to maintain HR records, fulfill active employment, comply with payroll/tax and audit requirements, and enforce platform agreements — governed by each organization's own configurable retention policy. When no longer required, data is securely deleted or anonymized, subject to any active legal hold.

5. User Rights & Account Deletion

Users have the right to access, correct, or request deletion of their personal information, subject to their employer's recordkeeping obligations.

5.1 Account Deletion Requests

Since accounts are provisioned by organizations, users may request account deactivation and data deletion at any time:

  • Contact your organization's HR or Company Admin directly, who can raise a data deletion request within the Platform, OR
  • Email info@digi-wire.com with the subject line “Account & Data Deletion Request” along with your registered email address and organization name.

Upon verification, account details and personal records will be permanently deleted or anonymized within 30 days, subject to mandatory legal, tax, or audit retention obligations, including any active legal hold.

6. Children's Privacy

Vyxel HR is a workplace platform intended for use by employees, contractors, and administrators of employing organizations. It is not directed at, and is not knowingly used by, children.

7. Changes to This Policy

We may update this Privacy Policy periodically to reflect service updates or regulatory changes. The “Last Updated” date at the top indicates when revisions were made.
